How Ulti-Cabinet Helped Organize and Improve a Veterinary Pharmacy

Purchase of prescribed medicines containing controlled substances for humans and animals must go thru a process of verification and authorization by certified personnel such as a Pharmacist or a Veterinarian.  Drs. Fosters & Smith is a licensed provider of prescription drugs for animals.

Inconveniences of the Process when presented to NEXTECH FL

Owners usually place veterinary prescription drugs orders to the Doctor Foster and Smith Pharmacy using several means, including DRFS website, by phone, email and even fax.

Prior to Nextech solution, the DRFS personnel had to print a Veterinarian authorization form, fill it out, by hand and, using one of 24 fax machines, send it to the vet for approval. They also had to confirm receipt of the authorization form by calling every doctor over the phone. They also had to keep pending paperwork in filing cabinets, while the authorization was completed and sent back to the pharmacy. Once the authorization form was received, the in-house pharmacist had to retrieve the product safety sheet information from the file, and verify that the information was current and applicable at the time. The entire process was very costly and time-consuming.

Nextech Products Solution

We integrated our workflow and document management system (Ulti-Cabinet) into the process and implemented a completely automated system.

  • Once the prescription order is placed, a workflow process is created and controlled.
  • The prescription authorization form is electronically sent to the veterinary, either emailed or thru a fax server.
  • The system controls responses in 24/48/72 hours interval and automatically sends subsequent notifications if the vet doesn’t respond.
  • Customers are also electronically notified if a vet’s response is never received.
  • All product safety sheets are electronically available to the Pharmacist and he/she can update them online, if necessary.
  • All documents related to the transaction are intelligently indexed, and stored in Ulti-Cabinet’s documents repository.

Customer service personnel has online access to the document repository which expedites customer service issues.
